All nonprofit organizations need the support of volunteers. Staff members tend to wear many hats and cannot fulfill all roles at all times. Consider combining your efforts with the efforts of volunteers to perform specific tasks and duties. It is often a practical and cost-effective way to accomplish an assignment or supplement additional workforce for an event.
Below are some steps nonprofits can take to maximize the efforts of volunteers, and minimize confusion and lack of follow through while meeting the goals outlined by your organization.
1. Volunteer Intake Checklist: Gathering basic information about your volunteer can help you determine availability, expertise in specific areas, core competencies, and other areas your volunteer is interested in helping your organization. Download our checklist!
2. Evaluate Communication and Expectations: Review the communication channels and expectations set for volunteers. Ensure that the organization provides clear instructions, guidelines, and timelines for tasks. If there are any misunderstandings or gaps in communication, address them promptly to avoid future issues. Consider a volunteer “job description”. The volunteer can see the expectations up front and you can both determine if they are a good fit overall or for a specific event/task/project.
3. Provide Support and Resources: Volunteers may not follow through if they feel overwhelmed or lack the necessary resources to complete their tasks. Assess whether volunteers have access to the tools, training, and support they need. Offer additional training sessions, mentorship programs, or resources to enhance their skills and confidence.
4. Foster a Positive and Engaging Environment: Volunteers are more likely to follow through when they feel valued and engaged. Create a positive and inclusive environment where volunteers are recognized for their efforts, achievements, and impact. Regularly communicate the importance of their contributions and provide opportunities for them to share their ideas and feedback.
5. Establish a Volunteer Lead: Assigning a volunteer coordinator or team leader who can oversee a volunteer's progress, provide guidance and address any challenges they encounter to provide structure and support. This may include setting deadlines, tracking progress, and conducting regular check-ins. Volunteers will feel a sense of community and teamwork.
6. Seek Feedback and Input: Engage with volunteers to understand their motivations, challenges, and suggestions for improvement. Conduct surveys, focus groups, or one-on-one meetings to gather feedback. Actively listen to their concerns and ideas, and use this information to improve the volunteer experience and address any issues that may be affecting follow-through.
7. Recognize and Reward Commitment: Recognize and appreciate volunteers who consistently follow through on their commitments. Implement a recognition program where you acknowledge their dedication, such as volunteer of the month/year awards, certificates, or public appreciation through social media or newsletters. This recognition not only motivates those who are already committed but also inspires others. It is another way to feel valued.
Remember, volunteers are often motivated by their passion for the cause. By addressing communication, providing support, fostering engagement, seeking feedback, and recognizing commitment, nonprofits can benefit from their amazing manpower to support the overall mission.
